About Us: Affinity Workforce Solutions is seeking a dedicated and experienced Senior Administration Assistant to join our team at a primary school in Bristol. This role is crucial in providing high-quality administrative, clerical, and organisational support to the academy.

Job Summary: Under the guidance of senior staff, the Senior Administration Assistant will be responsible for a range of administrative duties, potentially taking the lead in specific areas such as admissions, property management, inclusion, or the primary phase. The role requires proactive problem-solving and collaboration with colleagues to ensure the smooth running of the academy’s administration.

Key Responsibilities:

  • Relationships:

    • Develop and maintain effective professional relationships with internal and external stakeholders.
    • Support academy staff with administrative and organisational requirements.
    • Communicate effectively with parents, students, the public, and external bodies.
    • Welcome visitors professionally and support meetings with necessary arrangements.
    • Ensure safeguarding of children and young people when covering reception.
  • People Management:

    • Supervise, coach, and support new or less experienced staff.
    • Provide training in systems such as Web Req, Tucasi, or SIMs.
    • Deputise in the absence of the Operations Manager.
  • Resource Management:

    • Handle administrative tasks including correspondence, data input, and report generation.
    • Lead administrative support for school events, trips, and processes.
    • Manage financial and accounting administration, including invoices and reconciliations.
    • Oversee the maintenance of office equipment and supplies.
  • Decision Making:

    • Assist in planning and organising administrative support systems and policies.
    • Conduct research and analysis to support decision-making and process improvements.
    • Maintain schedules and ensure timely reminders for key events and deadlines.
  • Work Demands:

    • Manage conflicting priorities effectively.
    • Support colleagues in managing their priorities.
