What is a Managed Service?

A Managed Service is when a specialist recruitment agency takes full responsibility for managing the recruitment of temporary staff.

From sourcing candidates, managing a supply chain of recruitment agencies and engaging with the temporary workforce, Affinity Workforce recruits and fills temporary vacancy requests for teaching and non-teaching staff in Multi-Academy Trusts.

Affinity Workforce Solutions delivers Managed Service Solutions via the Crown Commercial Service (CCS) framework and the CPC Framework, which provides schools with an open, fair and transparent route when hiring temporary staff. Our commitment to delivering quality recruitment services is reflected in our strong presence within the CCS framework.

Managed Service Provision FAQ’s

  • What is a managed service?

A Managed Service is when a specialist recruitment agency takes full responsibility for managing the recruitment of temporary staff. From sourcing candidates, managing a supply chain of recruitment agencies and engaging with the temporary workforce, Affinity Workforce recruits and fills temporary vacancy requests for teaching and non-teaching staff in Multi-Academy Trusts.

  •  What is the CCS?

The CCS is a government framework that helps schools save money. It gives the DfE better visibility of how government funds are being spent by schools who use recruitment agencies for their supply teachers. The CCS framework allows schools to find the best possible price to fill temporary and fixed-term roles quickly and easily.

  • What are the benefits of our Trust being on a managed service agreement?
    • Transparency of costs and savings across your Trust
    • Streamlining timesheets and invoicing
    • Efficient compliance
    • Fixed term to perm agreement
    • Pre-agreed booking rate cards

  • What roles can we hire on the framework?

You can recruit all temporary teaching and support staff roles using the framework, such as:

    • Qualified supply teachers
    • Unqualified teachers
    • SEND teachers
    • Educational support staff
    • Cover supervisors
    • Teaching Assistants
    • Headteachers
    • Senior leaders
    • Administrative, clerical, finance, IT staff and more

When you hire any of these workers on CCS terms, you can see all the costs an agency will charge before making your decision, meaning your school can make an informed choice on the cost and quality of workers.

  • How would I transfer a temporary worker to a permanent employee?

If the candidate has already been on assignment for 12 weeks, Affinity will offer an extended period hire of 4 weeks – after this point the candidate will transfer to a permanent contract of employment at no extra cost. This provision is more competitive than the industry standard, which generally offers temp to perm for free after 20 weeks.

  • How do I monitor my bookings with Affinity?

Our VMS system, Affinity Hub, allows academies to place bookings, capture and approve timesheets and manage all bookings, whether supplied directly via Affinity or via a supply chain partner. All invoices and compliance documents are all housed on our bespoke dashboards.

  • How do you ensure compliance and safeguarding?

What our clients have to say…

“The technology was far and beyond with AWS. It made life a lot easier from a finance perspective. The invoicing was easier and enabled us to deliver the agreement.

The transparency from the start was great, they have always been honest about what they are able to do. The partnership has been invaluable.”

Ricky Barton

Head of Finance, Lime Academy Trust

“Working with AWS on a managed service solution for our supply staff has dramatically reduced administration time for processing invoices and checking timesheets.

Using the AWS portal means error rates are practically zero and we estimate that we only spend about 30% of the time processing payments now, as compared to our previous arrangements with multiple suppliers. Costs are lower too.”

Jacqui Jackson

Finance & Business Development Manager, Briarwood School

“The consistency of staff, through the managed service, has really benefitted our Trust.

Candidates supplied through AWS fully understand the policies and procedures, they’ve completed Safeguarding training and they understand what is expected of them. We don’t have to retrain staff every single day because of the consistency.”
